Your new role
As Commercial & Administrative Support, you will play a key role in coordinating and executing administrative, documentation, and logistical tasks that support our Commercial, Medical & Regulatory Affairs, Market Access & Public Affairs, and promotional activities across Iberia.
Your responsibilities will include:

-Managing the approval process for promotional and non-promotional materials, ensuring timely review and validation in Veeva.
-Collaborating with Product Managers on the implementation of promotional initiatives.
-Submitting approved promotional materials to health authorities (e.g. Institut Català de la Salut).
-Preparing monthly transparency reports on medical investments.
-Managing Veeva PromoMats for the upload, tracking and approval of promotional materials.
-Using Veeva Vault to manage promotional and non-promotional materials.
-Overseeing activities in Veeva CRM, including sponsorship requests, contracts, speaker services and validations.
-Creating and following up on Veeva activities to facilitate investment requests from sales representatives.
-Managing contracts with healthcare professionals for scientific meetings, ensuring correct upload into the relevant platforms.
-Coordinating the full billing cycle, including purchase orders (POs), service follow-up, invoice validation and budget reconciliation.
-Providing support to the Medical & Regulatory Affairs and Market Access & Public Affairs departments in their activities and processes.
-Offering logistical support, such as sending documentation, handling confirmations or speaker-requested changes.
-Creating and sending speaker contracts via DocuSign.
-Verifying information entered by sales representatives to ensure accuracy and completeness.
-Assigning and managing internal codes for promotional materials.
-Assisting at reception when the responsible colleague is not present in the office.
This role will allow you to work closely with the Marketing, Market Access & Public Affairs, Medical & Regulatory Affairs, Compliance and Procurement teams, ensuring the effective execution of projects aligned with Lundbeck’s strategic objectives.

What you bring to the team
Are you ready to put your skills and experience at the service of a meaningful purpose? We are looking for someone with the following profile:

-Qualifications: Advanced Vocational Training Diplom
(Ciclo Formativo de Grado Medio o Superior) in Administration & Finance or Marketing, or a university degree/equivalent qualification in a relevant field (e.g. Business Administration or Marketing).
-Strong organisational and coordination skills to manage administrative and logistical tasks efficiently.
-Proficiency in platforms such as Veeva PromoMats, Veeva Vault and Veeva CRM.
-Excellent communication skills to interact effectively with internal and external stakeholders.
-Analytical capabilities for preparing transparency, sustainability and budget reconciliation reports.
-At least 2 years’ experience in a similar role, preferably within the pharmaceutical or healthcare industry.
-Spanish, Portuguese and English (B2–C1 level, common in international environments).
