Summary
We are recruiting for an Administrative Assistant to provide administrative support to SVP of Specialty Meats and Emerging Brands.
This position has a target wage of $24.00 - $36.00 per hour, based on shift, experience and qualifications with annual bonus available (variable depending on performance). Overtime may be available.

Principal and Essential Duties & Responsibilities
1 Provides primary administrative support to the SVP of Specialty Meats and Emerging Brands and senior management team when needed:
• Maintains/updates all calendar entries scheduling numerous meetings to include room arrangements/call in lines (internal and external)
• Prepares memos, letters, statistical reports, charts and tables, timelines, tables, graphs; prepares effective graphic presentations, spreadsheets reports and sales materials utilizing current technology, i.e. scanning and internet
• Provides phone coverage directing customers/consumers and outside suppliers as appropriate
• Makes return calls for numerous outside vendors and solicitation requests
• Reconciles purchase card monthly
• Responsible for numerous departmental errands, i.e., ordering and pick up of food and refreshments and set up for various meetings; picks up product samples; picks up coffee supplies for the department, i.e., flowers, cards, etc. typically purchased on P-card
• Ensures printers and fax machines are working; calls in for maintenance or repair when needed.
• Proofs various documents for grammatical and spelling errors
• Picks up and sorts mail for the department. Processes and screens internal and external mail.
• Faxes, copies and distributes various documents
• Sets up travel arrangements (air, train, rental cars, etc.)
• Prepares expense reports and submits to Accounts Payable
2 Assists in any special projects, assignments, or other duties as required for effective and sufficient support of senior management team i.e., customer presentations, customer visitations, trade shows.
3 Assists SVP and other senior management with the handling of confidential Human Resources information, i.e., coaching sessions, reprimands, salary information, sales incentive programs, etc.
4 Maintains accurate personnel information: keeps track of all salary PTO time and out of the office schedules for when needed.
5 Attends pertinent meetings, manages upcoming projects, back up support, general issues regarding department administrative functions.
Minimum Education and Experience Required
REQUIRED: Associates degree plus 3 -4 years related work experience or in the absence of an Associates degree,
total experience equals 7 years.
-Requires strong reading, writing, communication, proofreading and analytical
skills.
-Must have excellent interpersonal skills.
-Must be able to format business presentations and be proficient in
the Microsoft Office suite products.
-Should have knowledge and be able to use printer/fax/scanner machines.
-Must have strong organizational skills and be able to work in an extremely fast-paced, highly demanding
environment.
Environmental Factors and Physical Requirements
1. Position is mostly sedentary but may require occasional moving to other offices or buildings.
2. May need to move light equipment or supplies from one place to another.
3. May need to access files, supplies and equipment.
4. Work activity is in an office, open-partitioned, cubicle environment.
