About the Indiana Law Enforcement Training Board: 

The Indiana Law Enforcement Training Board is the governing body of the Indiana Law Enforcement Academy, located in Plainfield, Indiana. The Board is comprised of 17 members, who have been appointed by the governor. The board sets the requirements and criteria for the basic training of law enforcement officers throughout the State of Indiana, which became mandatory in 1972.

Role Overview: 

Incumbent serves as a Front Desk Clerk/Receptionist for the Indiana Law Enforcement Academy (ILEA), responsible for receiving calls and guests for the agency.  Functions in a clerical support role as the agency's Receptionist, operating a multi-line telecommunication system, monitoring security cameras, and greeting visitors.  Incumbent reports to the Director of Support Services.

DUTIES

•    Operate multi-line telecommunication system to receive, place and/or route calls and intercom system to make announcements;

•    Accurately compose messages and distribute to appropriate staff;

•    Greet visitors and/or students arriving at ILEA by providing necessary assistance and ensuring they are properly registered and have received identification badges;

•    Monitor security systems for ILEA facility and make proper notification for breaches;

•    Maintain all Facility Requests, Class Rosters, Class Schedules and other information related to current training classes in binder for Communications desk;

•    Provides clerical assistance to other departments with data processing and other clerical duties on an as-needed basis.

REQUIREMENTS

•    Working knowledge of and ability to operate a multi-line telecommunication system and intercom;

•    Ability to utilize security camera system;

•    Must have excellent customer service skills;

•    Must have working knowledge of computer software such as Microsoft Office and the ability to learn and comprehend new computer programs;

•    Must have general knowledge of clerical procedures, methods and principles;

•    Must possess above average observation skills and attention to detail;

•    Must be able to multi-task and work well under pressure using diplomacy, courtesy and tact;

•    Working knowledge of standard office equipment including typewriter, computer, copier, scanner, fax, and paging system.

DIFFICULTY OF WORK

Work is performed in an office environment with limited physical demands.  Must be able to coordinate a variety of tasks at the same time.  Incumbent relies on agency policies, practices, and principles in performance of tasks.  Occasionally, pressure situations may arise and incumbent must maintain composure.

PERSONAL WORK RELATIONSHIPS

Incumbent works with a wide range of person including co-workers, supervisors, executives, various police department personnel, recruits, public officials and the general public.

MINIMUM QUALIFICATIONS

High School Graduate or GED Certificate;

Must have a minimum of three (3) years clerical experience or equivalent;

Must have a minimum of three (2) years data processing experience or equivalent;

Must have a valid driver's license.

Salary Statement: 

The salary for this position traditionally starts at $29,588.00 but may be commensurate with education or work experience.

A Day in the Life:

The essential functions of this role are as follows: 

-Supports the daily operations of an organization by performing general office tasks.
-Communicates with customers, employees, and other individuals to answer questions, disseminate, or explain information.
-Reviews files, records, and other documents to obtain information to respond to requests.
-Types forms, correspondence, memos, and other materials.
-Maintains filing systems for efficient recordkeeping and easy retrieval.
-Checks emails, send faxes, make copies, and updates computer databases.
-Answers telephones and gives information to callers, take messages, or transfers calls to appropriate individuals.
-Trains other staff members to perform work activities, such as using computer applications.
-Completes tasks or projects assigned by supervisor in a timely manner.

What You'll Need for Success:

The ideal candidate in this role should minimally have a 

-High school diploma or equivalent 
-at least 1 year of clerical experience applying the below, outlined knowledge, skills, and abilities in a similar role.
You must meet the following requirements to be considered for employment: 

-Working knowledge of general office functions and clerical procedures
-Active listening skills
-Excellent critical thinking skills
-Strong written and verbal communication skills
-Strong organizational skills with the ability to prioritize tasks effectively
-Excellent attention to detail and proofreading skills
-Proficient computer skills required, including but not limited to Microsoft Word, Excel, case management and data base tools.
-Ability to work with sensitive documents and information, and be privy to sensitive agency information without divulging information to internal or external parties
-Ability to work independently
-Ability to provide effective and professional customer service to internal and external parties.
-Able to perform essential functions with or without reasonable accommodation.

Supervisory Responsibilities/Direct Reports:

This role may provide direct supervision for one or more staff members.
