About the Role
We are seeking a detail-oriented and proactive Administrative Specialist to join our team. This role plays a key part in supporting daily operations, focusing on insurance carrier/payor credentialing, medical records management, and financial administrative tasks. The ideal candidate thrives in a fast-paced environment, is highly organized, and enjoys working collaboratively across departments.

Key Responsibilities
Credentialing & Compliance
- Manage the credentialing and re-credentialing process with insurance carriers and payors.
- Maintain accurate records of provider licensure, certifications, and contracts.
- Track expirations and ensure timely submission of documentation.
Medical Records & Information Requests
- Coordinate medical record requests from carriers, auditors, and other stakeholders.
- Ensure requests are processed accurately, securely, and in compliance with HIPAA regulations.
- Serve as a point of contact for follow-up questions or documentation needs.
Accounts Payable & Financial Support
- Assist with accounts payable, invoice processing, and expense tracking.
- Provide support to the finance team with reconciliations, reporting, and ad-hoc projects.
- Help maintain accurate and organized financial records.
General Administrative Support
- Assist leadership with day-to-day operational tasks as needed.
- Support communication between internal teams and external partners.
- Contribute to ongoing process improvements to enhance efficiency.

Qualifications

- Previous experience in medical administration, credentialing, or healthcare operations strongly preferred.
- Familiarity with insurance carrier/payor processes.
- Working knowledge of medical record standards and HIPAA compliance.
- Basic accounting or A/P experience is a plus.
- Strong attention to detail and organizational skills.
- Proficiency in Microsoft Office (Excel, Word, Outlook) and ability to learn new systems quickly.
- Excellent communication and problem-solving skills.
