Your opportunity:
Under the general direction of the Undergraduate Program Manager, the Student Advisor plays a key role in supporting the daily operations of the Undergraduate Office. This position serves as a first point of contact for students, prospective students, faculty, and visitors, providing preliminary academic guidance and responding to inquiries via phone, email, and in person. The Student Advisor is responsible for a range of administrative and clerical duties, including maintaining departmental databases, drafting memos and correspondence, tracking and noting important deadlines, and ensuring timely reminders are communicated to the appropriate parties. The role also involves organizing seminars, booking meetings, preparing documents and statistical reports, and offering administrative support to the Associate Chair of Undergraduate Studies in their committee work. The successful candidate will demonstrate professionalism, discretion, and a high level of confidentiality in all aspects of the role.
Your responsibilities will include:
-Acting as the first point of contact for general enquiries
-Support the Program Manager in undergraduate course administration by managing enrollment requests, administrative petitions preparation, responding to student inquiries, and ensuring accurate communication of course requirements and policies
-Coordinating tasks for projects and other strategic initiatives with stakeholders, and directing the activities of casual staff
-Coordinating meeting schedules, agendas, materials, action and follow-up items
-Determining logistical details and activities for events and/or programming, and arranging catering
-Distributing incoming and outgoing mail and deliveries
-Editing content for brochures, newsletters, websites and/or handbooks
-Administering undergraduate data including creating reports for the Associate Chair, Program Manager and Curriculum Committee
Essential Qualifications:
-Advanced College Diploma (3 years) in administration, business, communications, or a related field, or an equivalent combination of education and experience.
-Minimum three years of experience providing front line administrative support including responding to inquiries from a wide variety of stakeholders.
-Experience coordinating meetings and events.
-Demonstrated effective organizational, problem solving, and time-management skills, with the ability to adapt to new and changing priorities.
-Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other relevant software (e.g., scheduling tools, document management systems).
-Excellent verbal and written communication skills, including the ability to draft routine correspondence and edit content for clarity and tone.
-Strong interpersonal skills with the ability to interact professionally with diverse stakeholders.
-Ability to handle sensitive and confidential information with discretion.
-Attention to detail in proofreading, formatting, and verifying documents and reports.
Assets (Nonessential):
-Experience with U of T’s ROSI (Student Information System), Quercus, and CIS (Course Information System).
-Experience with Engineering administrative systems

USW Pay Band 09 -- $67,916. with an annual step progression to a maximum of $86,855. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
